Privacy Policy
Version 1.1 · Effective 2026-10-28
Draft pending legal review. Not approved by a lawyer.
1. Who we are
WageMetria is operated by Steven Watson, Sole Proprietor, PO Box 1326, Ladysmith, British Columbia V9G 1A9, Canada. Steven Watson is responsible for personal information under WageMetria’s control. Our Privacy Officer can be reached at privacy@wagemetria.ca. This policy explains what we collect, why, who processes it and your choices, in line with British Columbia’s Personal Information Protection Act (PIPA) and, where it applies, the federal Personal Information Protection and Electronic Documents Act (PIPEDA).
2. Information we collect
Account information: your email address, name if you provide it, account identifier, sign-in records created by our authentication provider, your language and theme preferences, and the versions of our Terms and Privacy Policy you accepted with the date and time.
Employment information you enter: job nicknames and employer names, work and residence province or territory, hourly rates, pay frequency and paydays, shifts, hours worked, overtime settings, rotations, time away, shift premiums and allowances (including living-out allowances), vacation and statutory holiday settings, figures you type from your pay statements to compare with our estimates, earlier-earnings opening balances, notes, and change histories. Some older accounts may also hold optional deduction settings (such as RRSP or union dues) entered while that feature was available; these are kept but not used for current calculations.
Access and purchase information: whether you have complimentary access or a Founding lifetime membership, purchase status and dates, amounts, and Stripe transaction references (checkout session and payment identifiers). If monthly or annual subscriptions are launched, we will also keep plan, trial dates, renewal status and notice records.
Support information: messages you send us through the app or by email.
Technical information: our hosting provider processes technical data needed to run and secure the service, such as IP address, browser and device type, and request logs. The application may also record basic, non-identifying usage events through our hosting provider’s analytics. We do not use advertising trackers.
3. No pay stub uploads
WageMetria does not accept uploads of pay stubs or payroll documents. Users manually enter employment details, hours worked, wage rates, and other calculation settings. WageMetria has no access to any employer’s payroll system.
4. Why we use it
We use your information to provide your account and calculations, keep your history, respond to support requests, manage access and purchases, prevent fraud and misuse, keep the service secure, meet legal and tax-record obligations, and improve the service using aggregated information. We do not sell your information and we do not share your payroll information with any employer you name in your account.
5. Service providers and where your information is stored
Base44 (application hosting, database, authentication and file storage): WageMetria is built on and hosted by Base44, which stores your account and employment information on cloud infrastructure. That infrastructure may be located outside Canada, including in the United States, and may involve Base44’s own sub-processors. Information stored outside Canada is subject to the laws of that country and may be accessible to its authorities. (The exact storage region, sub-processor list and backup schedule are being confirmed with Base44 and this section will be updated.)
Stripe (payments): payments are processed by Stripe. Stripe collects and controls your payment card or bank details, billing address and related information under its own privacy policy; WageMetria never receives or stores your full card number. We receive transaction identifiers, amount, currency, status, and the email address used at checkout. If we move to Stripe Managed Payments, Stripe’s affiliate Link would act as merchant of record for eligible transactions and would process transaction, tax and support information as an independent controller. This is not active yet.
Email: transactional emails (such as sign-in codes and purchase confirmations) are sent through our hosting provider.
AI services: WageMetria’s pay calculations are deterministic and do not send your employment information to AI services.
6. Consent
We collect information with your consent, which you give when you create an account and when you enter information. You can withdraw consent at any time by deleting information or your account, subject to legal and contractual limits; withdrawing consent may mean we cannot provide the service. Marketing emails are sent only if you opt in, and every marketing email includes an unsubscribe link, in line with Canada’s Anti-Spam Legislation (CASL). Opting out does not stop service and transaction messages.
7. Security
Access to your records is restricted at the database level so that only your own account can read or change your employment records; administrators’ access is limited to account and support information needed to operate the service and does not include your wage figures in the admin tools. Connections use encrypted HTTPS. Payment secrets are kept server-side and never sent to your browser. No system is perfectly secure; if a breach creates a real risk of significant harm, we will notify you and the appropriate privacy regulator as required by law.
8. Retention and deletion
We keep your account and employment information while your account is open. When you delete your account from Account settings, we immediately delete your jobs, shifts, rotations, pay items, pay comparisons, earlier-earnings records and support messages, cancel any active subscription, end your access and remove your login. Your personal employment records are not kept after deletion. Business and payment records (purchase, subscription, refund and dispute records, which contain your email, amounts and dates but no employment data) are kept for the period required by the Canada Revenue Agency, generally six years from the end of the last tax year they relate to, together with audit logs of administrative actions. Copies may remain in our hosting provider’s backups for a limited period until they are overwritten. Support messages are kept for as long as needed to resolve your request and for a reasonable period afterwards.
9. Your rights
You may ask to access the personal information we hold about you, ask us to correct it, withdraw consent, or make a complaint, by writing to privacy@wagemetria.ca or by mail to our PO Box. We will respond within 30 days, or tell you if we need an extension permitted by law. If you are not satisfied, you may contact the Office of the Information and Privacy Commissioner for British Columbia or, where PIPEDA applies, the Office of the Privacy Commissioner of Canada.
10. Cookies and local storage
We use the browser storage needed to keep you signed in and remember your language and theme. We do not use advertising cookies.
11. Changes
We will post updated versions of this policy with a new version number and effective date and, for material changes, notify you before they take effect.
